How to Make a Resume in 2026: A Step-by-Step Guide (With Examples for India & Abroad)
Quick Answer: To make a high-scoring resume in 2026: (1) choose a reverse-chronological, single-column format; (2) add clean contact details; (3) write a 3-sentence summary or fresher objective; (4) draft quantified achievement bullets using the Google XYZ formula; (5) format your education and relevant coursework; (6) group 8–15 hard and soft skills; (7) add verified certifications and projects; (8) tailor keywords to the specific job description; (9) maintain strict 1-page (or 2-page for 8+ years) boundary; and (10) verify ATS readability using a plain-text copy-paste test before submitting.
Key Takeaways
- Format Dictates Readability: Over 97.4% of Fortune 500 employers and 70%+ of Indian IT firms use an Applicant Tracking System (ATS). Single-column layouts with standard headings parse with 95%–100% accuracy, while multi-column designs frequently scramble text.
- The Global Convention Switch: What is standard in India (A4 paper, CGPA/percentage, no photos in corporate IT) differs from the US (US Letter, GPA out of 4.0, zero demographic data) and the Gulf (detailed 2-page CV with nationality and photo).
- Quantification Wins Interviews: Accomplishment bullets must follow the Google XYZ formula (Accomplished [X], measured by [Y], by doing [Z]). Demonstrated impact consistently outperforms passive task descriptions.
- Tailoring Beats Volume: With applications per job averaging 244 (Greenhouse 2026 data), sending 10 tailored applications generates substantially higher interview callbacks than spraying 100 generic PDFs.

What the 2026 hiring data reveals
Before writing a single word, understand the statistical reality of the job market in 2026:
- Massive Applicant Influx: Greenhouse's Hire Standard benchmark report (March 2026), analyzing over 640 million applications across 6,000+ companies, found that the average number of applications per open role reached 244 in 2025, compared to 116 in 2022—a 111% increase fueled by 1-click apply portals and generative AI tools.
- Enterprise ATS Ubiquity: According to Jobscan's 2026 ATS Usage Audit, 97.4% of Fortune 500 companies use an enterprise Applicant Tracking System, with Workday capturing over 40% market share, followed by Taleo, Greenhouse, and Lever. In India, the India Skills Report 2026 indicates that ~70% of IT and 50% of BFSI employers have deployed automated screening systems.
- The 7-Second Screen: Ladders eye-tracking research indicates that human recruiters spend an average of 7.4 seconds on an initial resume screen. Eye gaze tracks a strict F-pattern: scanning the candidate name, current title, company name, employment dates, and top 2 bullet points.
- Skills-Based Hiring Dominance: Research from the National Association of Colleges and Employers (NACE Job Outlook 2026) reveals that ~70% of enterprise employers practice skills-based hiring, prioritizing demonstrable project evidence over formal academic pedigree alone.
- Employability Realities: The India Skills Report 2026 (Wheebox/ETS with CII and AICTE) established national graduate employability at 56.35% (Computer Science at 80%, IT at 78%, Commerce at 62.8%). The report confirms that employability measures baseline technical readiness, making high-signal project documentation essential for securing interviews.
Step 1: Choose the right resume format
The architecture of your resume determines whether an ATS parser extracts your chronological timeline accurately or scrambles your dates into your job titles.
There are three primary resume formats in professional recruiting:
| Format Structure | How It Works | Best Suited For | ATS Readability Score |
|---|---|---|---|
| Reverse-Chronological | Lists roles in reverse order, starting with your current or most recent job. Focuses on career trajectory and continuous tenure. | 95% of all job seekers: College freshers, mid-level professionals, software engineers, accountants, and career climbers. | 98%–100% (Safest) |
| Hybrid (Combination) | Leads with a targeted functional skills summary, followed by a chronological work history. | Mid-to-senior professionals with 6+ years experience pivoting industries or showcasing multi-disciplinary expertise. | 90%–95% |
| Functional (Skills-Based) | Groups accomplishments by abstract skill buckets while burying employment dates at the bottom. | Strongly discouraged in corporate recruiting. Used historically to conceal large career gaps, but recruiters view it with high skepticism. | 65%–75% (Risky) |
WHICH RESUME FORMAT SHOULD YOU USE?
• Are you a college fresher or recent graduate? • > REVERSE-CHRONOLOGICAL (Education & Projects top) • Do you have 2 to 15 years of steady industry experience? • > REVERSE-CHRONOLOGICAL (Experience top, followed by skills) • Are you changing careers after 5+ years in another field? • > HYBRID FORMAT (Core technical competencies top, then history) • Should you ever use a purely functional (no dates) resume? • > NO. Recruiters flag it immediately as hiding employment gaps.
Verdict: Always choose the reverse-chronological format unless you are an experienced professional executing a radical career pivot.
Step 2: Format your contact details (India vs. Abroad)
Your contact header must be uncluttered and text-based. Place contact details in the normal document body—never inside the Word header or footer zone, because many ATS parsers (like older Taleo instances) ignore header/footer margins entirely.
What to Include in Modern Headers:
- Full Name: Large, bold text (16–20pt).
- Professional Headline / Target Designation: (e.g., Full-Stack Developer | React & Node.js).
- Phone Number: Include country code (
+91for India,+1for US). - Professional Email: Clean format (
firstname.lastname@gmail.com). - City & State / Country: (e.g., Bengaluru, Karnataka or Austin, TX). Street addresses are obsolete.
- Professional Links: LinkedIn URL, GitHub profile (for developers), or portfolio link (for designers).
The Regional Convention Switch: India vs. US vs. Gulf
Hiring conventions regarding personal details vary dramatically across borders:
| Profile Field | India (Private Corporate / IT) | United States & Canada | Gulf / Middle East (UAE, Saudi) |
|---|---|---|---|
| Document Standard | 1 Page ATS Resume | Strictly 1 Page Resume | 2 Page Detailed CV |
| Paper Canvas Size | Standard A4 | US Letter (8.5 × 11 in) | Standard A4 |
| Photograph | Omit (unless requested) | Strictly Forbidden (anti-bias) | Expected (formal professional photo) |
| Date of Birth & Age | Omit | Strictly Forbidden (ADEA law) | Required (visa eligibility) |
| Gender & Marital Status | Omit | Strictly Forbidden (Title VII) | Frequently requested |
| Nationality & Visa | Omit for domestic roles | Work authorization status only | Mandatory (quota & sponsorship rules) |
| Grades / Marks | CGPA or Percentage (10th/12th) | GPA out of 4.0 (drop high school) | Degree division |
Step 3: Craft a summary, objective, or headline
The top third of your resume must establish your identity within two seconds. Choose between a headline, summary, or objective based on your experience:
| Category & Scenario | Strategic Action & Implementation |
|---|---|
| 1. RESUME HEADLINE (1 Single Line — High Density) | |
| Best for: Naukri, LinkedIn, and fast-scan resume headers. | |
| **Example: B.Tech CSE | Java, Spring Boot & React |
| 2. CAREER OBJECTIVE (2–3 Sentences — Proof-Driven) | |
| Best for: Freshers, campus placements, and applicants with no exp. | |
| Formula: Degree + Core Tool Stack + Capstone Project + Target Role | |
| 3. PROFESSIONAL SUMMARY (3–4 Sentences — Metrics-Driven) | |
| Best for: Professionals with 2+ years of verified industry tenure. | |
| Formula: Years Experience + Core Tech + Top Achievement + Value |
Strong vs. Weak Summary Examples:
Weak Summary (Generic AI Buzzwords):
"Dynamic, highly motivated software engineer with a proven track record of success seeking a challenging position in a fast-paced environment to utilize my skills."
(Why it fails: Contains zero technical frameworks, zero numbers, and zero role clarity).
Strong Professional Summary (Experienced):
"Full-Stack Software Engineer with 4 years of experience designing scalable microservices in Java, Spring Boot, and PostgreSQL. Engineered payment gateway integrations processing ₹2.5 Cr in monthly transactions with 99.98% uptime. Seeking Senior Backend roles to lead distributed systems architecture."
Strong Career Objective (Fresher):
"B.Tech Computer Science 2026 graduate proficient in Python, SQL, and Power BI with hands-on experience building 3 predictive machine learning models and completing a 3-month data analytics internship. Seeking a Junior Data Analyst role to optimize reporting pipelines."
You can generate tailored summaries with our Resume Summary Generator.
Step 4: Write work experience and project bullets
The experience and project section forms the core evaluation criteria for both automated systems and technical interviewers.
The Google XYZ Formula
Every high-converting bullet point follows Google's XYZ formula:
$$\text{Accomplished [X], as measured by [Y], by doing [Z]}$$
- [X]: The tangible operational or technical outcome.
- [Y]: The quantitative measurement (percentage, revenue, latency, head count).
- [Z]: The specific tools, algorithms, or methodologies you applied.
6 Worked Bullet Point Transformations Across Domains:
1. Software Engineering:
- Weak: Responsible for writing backend APIs and fixing bugs.
- Strong: Engineered 14 RESTful microservices in Go and PostgreSQL, reducing API endpoint response latency by 38% through Redis caching and query indexing.
2. Data Analytics:
- Weak: Created dashboards in Power BI for management.
- Strong: Built automated daily sales analytics dashboard in Power BI connected to Snowflake, saving the finance team 6 hours of manual spreadsheet reconciliation weekly across 12 branch locations.
3. Finance & Accounting:
- Weak: Handled vendor payments and GST filing.
- Strong: Processed 450+ monthly vendor payments and executed quarterly GST returns in Tally Prime with zero statutory compliance penalties, identifying ₹4.2 Lakhs in unclaimed input tax credits.
4. Digital Marketing:
- Weak: Managed social media ads and Google campaigns.
- Strong: Managed ₹2.4 Lakhs monthly Google Search ad spend, optimizing landing page conversion rate from 1.8% to 4.2% and lowering cost per acquisition (CPA) by 27%.
5. Mechanical Engineering / Manufacturing:
- Weak: Worked on CAD design and production planning.
- Strong: Redesigned automotive transmission housing in SolidWorks, conducting ANSYS finite-element stress analysis that decreased material weight by 12% while meeting ISO 9001 tensile specifications.
6. Academic Project (Fresher):
- Weak: Final year project was an e-commerce website.
- Strong: Architected responsive full-stack e-commerce web application using Next.js, Node.js, and Stripe API, supporting user authentication, shopping carts, and simulated transactions for 300 concurrent test users.

Step 5: Format your education credentials
How you format education depends heavily on where you stand in your career:
| Category & Scenario | Strategic Action & Implementation |
|---|---|
| Place Education directly beneath Career Objective. | |
| Include Degree, College Name, City, Year, CGPA/Percentage. | |
| Include 12th and 10th boards if applying for campus eligibility. | EXPERIENCED (2+ Years Exp): |
| Place Education below Work Experience. | |
| Include Degree, Institution, Graduation Year. | |
| Drop high school (10th/12th), drop GPA/CGPA unless exceptional. |
India-Specific Campus Drive Formatting:
For campus recruitment drives (such as TCS NQT, Infosys, Wipro, Accenture), placement cells often mandate showing 10th, 12th, and semester marks to verify corporate cut-offs:
Bachelor of Technology (B.Tech) in Computer Science & Engineering
Vellore Institute of Technology, Vellore | 2022 – 2026
- CGPA: 8.6 / 10.0 (First Class with Distinction)
- Relevant Coursework: Data Structures & Algorithms, Database Management Systems, Computer Networks, Operating Systems.
Class XII (CBSE) — Senior Secondary Certificate
Delhi Public School, R.K. Puram | 2022 | 92.4%
Step 6: Group hard and soft skills with evidence
Dumping 30 unstructured keywords into an unreadable paragraph is counterproductive. Group your skills into structured categories:
TECHNICAL SKILLS
• Programming Languages: Python, Java, SQL, TypeScript, C++
• Web Frameworks: React, Next.js, Spring Boot, Express.js
• Databases & Cloud: PostgreSQL, MongoDB, Redis, AWS (S3, EC2)
• Developer Tools: Git, GitHub, Docker, Postman, Linux CLI
The Soft Skills Evidence Rule
Never list standalone buzzwords like "Critical Thinker", "Hardworking", or "Team Player". NACE's 2026 Job Outlook report emphasizes that employers demand context, not adjectives.
Instead, demonstrate soft skills inside your experience bullets:
- To prove Teamwork & Leadership: "Coordinated cross-functional team of 5 developers and 2 designers to deliver MVP feature 2 weeks ahead of scheduled sprint."
- To prove Problem Solving: "Diagnosed memory leak in production Node.js service, optimizing garbage collection to reduce server crashes by 100%."
Step 7: Add certifications, publications, and extras
High-impact supplementary sections distinguish your profile from identical degree holders:
- Industry-Recognized Certifications: Prioritize credentials with verifiable online registries:
- Cloud: AWS Certified Solutions Architect – Associate, Google Cloud Digital Leader
- Data & AI: Databricks Certified Associate Developer, TensorFlow Developer Certificate
- Project Management: PMP, Scrum Master (CSM)
- Finance: CFA Level 1, NISM Equity Derivatives
- Open-Source & Hackathons: Link to active GitHub repos, competitive programming achievements (LeetCode 350+ solved, Codeforces Specialist), or top-3 finishes in hackathons (Smart India Hackathon).
- Languages: List spoken languages with proficiency levels (English (Fluent), Hindi (Native), German (A2 Elementary)).
Step 8: Tailor your resume to the job description
Tailoring is the mathematical process of ensuring your resume includes the exact technical keywords and skill tokens specified in the job posting.
THE 4-STEP TAILORING LOOP
• 1. Extract 5–8 critical keywords from the target job posting • 2. Mirror exact spelling (e.g., "PostgreSQL" not "Postgres SQL") • 3. Inject keywords naturally into your Summary, Skills, and Bullets • 4. Never keyword-stuff; every keyword must reflect genuine experience
For a comprehensive walkthrough on version control and master resumes, review our pillar guide on What Is a Resume Copy?.
Step 9: Design, typography, and length rules
Your resume must be clean, elegant, and readable by both human eyes and OCR parsers.
The 8 Formatting Commandments:
- Single-Column Layout: The safest structure for ATS parsing. Two-column layouts risk text interleaving where a parser reads across columns horizontally.
- Page Boundaries:
- 0 to 7 years experience: Strictly 1 page.
- 8 to 15+ years experience: Exactly 2 pages.
- Never submit a 1.25-page resume with trailing orphaned lines on page 2.
- Margins: 0.5 inches to 0.75 inches on all four sides.
- Standard Vector Typography: Use clean, professional system fonts:
- Sans-Serif: Inter, Arial, Calibri, Roboto, Helvetica (10pt to 11.5pt body).
- Serif: Garamond, Georgia (10.5pt to 12pt body).
- Headings: Bold, uppercase or title case (12pt to 14pt).
- No Graphics, Charts, or Skill Bars: Never use 5-star ratings or visual progress bars ("Java: 80%"). An ATS parser cannot interpret visual pixels and extracts them as blank space.
- No Text Boxes or Nested Tables: Put all content directly on the page canvas.
- File Format: Save as a text-based PDF or standard
.docx. Verify that text can be highlighted and copied with your mouse.
Step 10: Proofread and verify ATS readability
Before clicking submit on any application portal, run this 60-second quality assurance checklist:
- The Copy-Paste Test: Open your PDF, press
Ctrl+A(Cmd+A), copy everything, and paste into Notepad. Does your name, contact info, job titles, and bullet points appear in logical order? - No Contact Details in Header Zone: Confirm phone and email reside in the main document body.
- Zero Spelling Errors: Verify technical acronyms and tool names (Kubernetes, PostgreSQL, JavaScript).
- Uniform Date Formats: Standardize dates across all entries (
Jun 2024 – Present, never mixing06/24withJune 2024). - Live Hyperlinks: Test that LinkedIn, GitHub, and portfolio URLs click through to live pages without 404 errors.
- Deterministic ATS Audit: Run your exported document through our free ATS Resume Checker to audit section detection and keyword density.
Safe AI resume writing: avoiding hallucinations
Using Large Language Models (such as ChatGPT, Claude, or Gemini) can accelerate your writing, but relying on unedited AI output introduces severe risks:
SAFE VS. DANGEROUS AI RESUME WORKFLOWS
• DANGEROUS: "Write my resume for a Software Engineer role at Google" • > Produces generic buzzwords, fake metrics, and hallmarked cliches. • SAFE: "Here are my raw project notes: [Notes]. Reformat these into 3 • Google XYZ bullet points using active action verbs." • > Preserves your factual integrity while refining syntax.
The 3 Red Flags of AI-Generated Resumes:
- The Buzzword Tell: Frequent repetition of words like spearheaded, leveraged, dynamic, passionate, synergized, innovative, visionary.
- Fake Metrics: Hallucinating arbitrary numbers ("boosted company revenue by 43%" when you never touched sales data).
- Passive Voice: Generating lengthy narrative paragraphs rather than concise, impact-driven bullet points.
Use AI as a polishing editor—never as an author of facts. For safe prompting workflows, review our guide on AI Resume Writing Without Sounding Like a Robot.
Building a resume on your mobile phone
Over 65% of job seekers in India access job boards (such as Naukri, Apna, and LinkedIn) primarily via mobile devices.
If you are building your resume on a smartphone:
- Avoid Mobile Word Apps: Editing complex formatting on small screens often disrupts tab stops and margin alignments.
- Use Responsive Browser Builders: Use our client-side Free AI Resume Builder directly in Chrome or Safari on iOS and Android. It handles single-column typography, line spacing, and margin bounds automatically.
- Download Direct to PDF: Export directly to your device storage so you have a clean text-based PDF ready for instant upload to portal apps.

Frequently asked questions
Should my resume be one page or two pages?
For college freshers and professionals with under 7 years of relevant experience, a resume should strictly be one page. Two pages are justified only for mid-to-senior professionals with 8+ years of deep tenure, extensive technical systems, or multi-role management histories.
Can an ATS reject my resume because of formatting?
An ATS parser does not reject resumes for formatting alone; rather, poor formatting (tables, text boxes, multi-columns, scanned images) causes the parser to fail to extract your text. When a recruiter searches for candidates with "Java" or "Spring Boot", your scrambled file never appears in the search results.
What should I put first: education or experience?
If you are a college student or fresher with under 1 year of professional experience, put Education and Projects first. Once you accumulate 2+ years of full-time professional experience, put Work Experience first and move Education below it.
Do I need to include a photo on my resume?
In India, photos are optional for private corporate and IT jobs, and should generally be omitted to save space for technical projects. In the United States and Canada, photos are strictly forbidden due to anti-discrimination laws. In the Gulf (Dubai, Saudi Arabia), professional photos are standard.
How often should I update my resume?
Update your Master Resume quarterly or immediately upon finishing major technical sprints, winning certifications, or completing significant projects. Create tailored resume copies fresh for each job application.
